Meetings, thinking and time away from the keyboard

Focus and rest · October 18, 2026 · 4 min read

You come back to your desk after an afternoon meeting and the keyboard has been cold for nearly forty minutes. Hina’s Trail shows only a gap with no input. It knows the mouse and keyboard stopped, and it does not know whether you were discussing a plan in a meeting room, finishing an episode on the sofa, or just staring out the window. The only thing recorded automatically is that nothing moved. Whether that stretch counts as a meeting, reading or thinking, watching a video, or Away is left until you are back at the keyboard and tell Hina yourself, once.

The machine only sees that nothing moved

Hina knows which app is in front and whether the stretch had keyboard or mouse input. It does not record keystrokes or page text. A film playing full screen and a minimized Google Meet window are the same kind of gap when nothing moves. It cannot tell whether you finished the film or left the meeting window aside and went to another room.

If you get up to pour a cup of coffee, or go downstairs to pick up a delivery, and the mouse and keyboard stay still for more than ten minutes, Hina asks once where that time went when you return. Lock screen and sleep do not need a choice. The system already has a state for both cases, when the screen is locked and when the lid is closed and the machine sleeps. A pause under ten minutes does not prompt you, and a gap longer than two hours stays Away and Hina does not ask. If you get up, fetch a page from the printer, and sit back down, the Trail still shows the original app and that duration. You do not need to supply a label for that small gap when you return.

Asked only once when you return

The question offers only four choices: Meeting, Reading / thinking, Watching, and Away. In a regular morning meeting the keyboard is often idle the whole time. Watching an episode at noon rarely moves the mouse. Reading a long piece in the afternoon, or thinking through a plan, can pause input for a little more than ten minutes, and those pauses look much the same. Hina cannot tell them apart from that alone. Even if the front app stays on Google Meet or Zoom, time without input does not become a meeting by itself.

Hina asks only after you are really back at the keyboard and input resumes. Halfway through a video meeting, or while a film fills the screen with no input, no question pops up at that moment. An unanswered question is dismissed after about a minute, and the stretch stays in Away.

Your choice rewrites that stretch

When you choose Meeting, Reading / thinking or Watching, the afternoon’s forty minutes are reclassified to match. On the Trail, the idle gap is replaced by Meeting, Reading and thinking or Watching a video, and that day’s daily report refreshes. Choosing Away leaves it as it was. Records of typing before and after stay on the original app.

For the episode you watched on the sofa you choose Watching, and the stretch counts toward active time under Media, which Hina groups with Leisure, but never toward Deep work. If you spent twenty minutes thinking through a plan in Notes and chose Reading / thinking, the stretch is labeled Reading and thinking, counts under Reading rather than Work, and is not written into Deep work. Choosing Meeting puts the stretch under Meetings, which Hina groups with Work. The Trail shows Meeting or Reading and thinking, as labeled in the app.

Reading the daily report after you choose

Open that day’s daily report and Away, Meeting, Reading and thinking, and Watching a video are split according to what you chose. To check the afternoon’s forty minutes, look at the name that stretch now has on the Trail, then compare how long it occupies in the daily report. If it is labeled a meeting, you can follow the Google Meet or Zoom activity around it and see which documents were still open before and after the meeting.

The Away cell is only a clue. It does not prove you were resting. You may have gone to a meeting and simply not chosen Meeting, or been called over to another screen for a look. Use a calendar or meeting notes to compare where you were at the time, in a meeting room, on the sofa, or by the window, with the name in Hina.

Hina keeps a local record of your workday, with no screenshots and no account, so you can see where the time went.
